Introduction

 

HP LaserJet 9000 printers and JetCAPS FormServer software have helped NHS Lothian University Hospitals improve the quality and increase the speed with which forms and documents are produced. The HP LaserJet/FormServer combination has also enabled the Trust to dispense with the expense and inconvenience of having to pre -print and store stationery.

NHS Lothian University Hospitals Division provides a comprehensive range of first-class acute adult and paediatric care to the people of Lothian and beyond, through seven key hospitals located in the City of Edinburgh.

 

Over 11,000 staff provide a wide range of specialist services and treat around 142,000 adults and 19,000 children each year.

 

The problem

 

The Trust’s forms, many of which are highly confidential items such as patient records and medical test results, had formerly been produced on multiple dot matrix printers located on three Trust sites, including The Royal Infirmary of Edinburgh and Western General Hospital.

 

“We had been aware for some time” explained Carol Thomson of the Trust “that the old system had serious shortcomings in respect of speed and quality.”

 

With the dot matrix printers operating at only 5 or 6 pages a minute, scheduling the production of 6,000 to 10,000 forms of different types and sizes daily had become something of a nightmare. Quality, too, was an important issue as the dot matrix forms were not always as readable as they should have been, and lacked features such as clear emboldening, which the Trust required to highlight abnormalities in test results.

 

The Solution

 

Presented with this brief, DTP, in collaboration with its 3rd party print solutions provider, recommended the installation of JetCAPS FormServer, a modular software solution that intercepts and processes data on the way from the application to the printer, in conjunction with three HP LaserJet 9000s with an operating speed of up to 50 pages a minute.

 

FormServer is designed to integrate with almost any application, regardless of platform. This level of independence allows the Trust to use its standard editor, MS Word, to design new forms and stationery. This makes it simple for the Trust to create, maintain and change forms and documents, and to incorporate an almost unlimited range of design elements.

 

Improved speed, quality and flexiblity

According to George O’Toole, who is responsible for IT in the laboratory of The Royal Infirmary, the new system represents a big step forward. “Not only has it met our requirements for increased speed and improved quality, but it has also given us a greater range of options in form design and helped to streamline production overall.”
