Authenticate:
Use of authentication offers countless advantages. By swiping a smart card or entering a pin code, users can simply log on to the multifunction and gain access to their personal scan destinations, such as their email address or their home directory. The MFP authenticates the user and sends the information to Smart Office Scan. Because Smart Office Scan has access to all user information, it is no longer necessary to enter an email address or define a home directory; all information needed is populated via the authentication process!
Authentication is possible via HP Access Control, via an Active Directory connection or with the creation of a local user in Smart Office Scan. Also the use of external authentication integrations like Equitrac, SafeCom or SecureJet is possible.
Capture:
Smart Office Scan has been designed in the same user friendly way as the HP multifunctional to ensure an easy scan and archiving experience. The first step when processing a document with Smart Office Scan is capturing a paper document by scanning it on your HP multifunctional device.
To start the actual scanning process, place the paper document you want to scan on your HP multifunctional device. Select the workflow you want to use and enter the requested information on the MFD. Finally, press the start button to commence scanning.
Process:
Smart Office Scan ensures that your digitized documents are being processed with the use of the latest technologies. In different businesses, information needs to be processed in different ways. For example, it is possible that a document needs to be sent as text searchable PDF file or in an Excel format. The processing features of Smart Office Scan allow you to:

Store:
After scanning and processing, your document needs to be archived. Smart Office Scan can automatically store your documents in almost any location of your choice. Based on information that has been gathered via your HP multifunctional device a storage location is determined: the information entered by the user on the multifunctional can be used by Smart Office Scan to not only determine a storage location, but also create a filename, (sub)folder or to enter document properties.
